Bass Club Manager
Privacy Policy
Last updated October 17, 2026
This policy explains how Bass Club Manager handles information through bassclubs.org, the club-management platform, and club websites created with the platform.
Who operates the service
“Bass Club Manager,” “we,” and “us” mean the operator of bassclubs.org and the Bass Club Manager platform. If you have a privacy question or request, contact info@bassclubs.org.
Clubs use the platform to manage their own members and publish club websites. A club may have separate privacy practices for information it collects outside Bass Club Manager. Contact the club directly about information it maintains independently.
Information we handle
- Accounts: name, username, email address, club membership and role, and password credentials stored as a password hash.
- Club management: club details, schedules, locations, roster information such as angler names and contact details, attendance, weigh-in and tournament results, scoring, payouts, and season settings entered by club administrators.
- Club website content: logos, photos, gallery images, bylaws, updates, news, and other text or media submitted by club users.
- Messages: the name, email address, topic, phone or business information when requested, and message content submitted through our general, support, or advertising inquiry forms.
- Advertising records: advertiser contact details, ad content, run dates, payment status, and payment references entered by a Bass Club Manager administrator. The platform does not currently accept payment card details.
- Technical data: information that a web host or server may record when a browser connects, such as IP address, browser and device details, requested pages, and request times.
How we use information
We use information to create and secure accounts, provide club management tools, generate and display club websites, store club content, respond to inquiries, prevent abuse of forms, maintain the service, and comply with legal obligations.
Public club websites may display information a club chooses to publish, including club schedules, angler or team names, tournament results, standings, announcements, bylaws, and photos. Club administrators are responsible for deciding what to publish and for having authority to submit it. Angler contact details are used for club management and are not automatically included in public tournament results.
Cookies and form security
We use a necessary session cookie for sign-in, security tokens, and form workflows. It is configured as HttpOnly and SameSite=Lax, and as Secure when the site is accessed over HTTPS. Blocking cookies may prevent sign-in and some forms from working.
To limit repeat submissions to public inquiry forms, we create a keyed hash from the connecting IP address and keep a timestamp for rate limiting. These records are eligible for cleanup after 30 days. We do not use this rate-limit value to build advertising profiles.
When information is shared
We share information as needed to provide the service:
- With authorized owners and administrators of the club that entered the information, and with visitors when a club publishes content on its public website.
- With service providers that help host the site, store its database and uploaded content, or deliver email and maintain the platform. They may process information only as needed to provide those services.
- When required by law, to respond to valid legal process, protect users and the service, or investigate suspected fraud or security issues.
- As part of a business transfer, subject to applicable law and appropriate protections.
We do not sell personal information. Public club websites may show rotating advertisements in their footers. When a visitor clicks an ad, our site records an aggregate click count for that ad and sends the visitor to the advertiser’s website. We do not use that click count to identify the visitor.
Third-party services and links
Some club location previews or map links use Google Maps. Loading a map or following an external link connects your browser to that provider, which may receive information such as your IP address under its own privacy policy. Advertiser, social-media, and other external websites also have their own policies and practices.
Retention, access, and requests
We keep information while needed to operate the platform, maintain club records, resolve issues, protect the service, and meet legal or accounting obligations. Public material may also be copied or cached by other people or services after it is published.
You may ask us to access, correct, or delete personal information we maintain by emailing info@bassclubs.org. Please identify your account and the information involved. We may need to verify your request, and some records may need to be retained or may be managed by the club that supplied them. Where privacy laws give you additional rights, you may exercise them using this contact address.
Security and children
We use safeguards intended to protect information, but no online service can guarantee absolute security. Please use a unique password and tell us promptly if you believe an account has been accessed without permission.
The platform is intended for adult club administrators and is not directed to children under 13. Club administrators must obtain any permission required before entering or publicly posting a child’s personal information or photo. If you believe a child under 13 has provided personal information directly to Bass Club Manager, contact us so we can review it.
Changes to this policy
We may update this policy as the service changes. We will post the revised version here and update the date above. Material changes may also be announced through the platform.
